This article is part of a series of articles written to help guide and inform the process of booking LIVE entertainers for your special event.

How to Prepare for Live Entertainment

If you want your next live entertainment event to go off without a hitch, you should be prepared before the day it’s being held. The people who are best equipped to host such events are the ones who can communicate well with their collaborators and the performers.

Just because Special Guest is known for helping people book entertainment for their events doesn’t mean we are oblivious to other parts of the planning process. Below is a guide for the live preparation process, featuring three major tasks that all hosts should emphasize.

As you go through the process of preparing for a live performance, make sure you keep these tips in mind. Start preparing for your next event by checking out everything Special Guest offers to event planners!

1. Find the Right Venue

Ideally, you will find the right venue for your event before booking the entertainment. This will allow you to understand better what kind of entertainment you need to coordinate.

After picking a venue, stay in close contact with a manager at the location. Keep them updated on any potential issues that come about with your plans. Ensuring the venue is up-to-date on the event arrangements will allow them to adjust leading up to the performers’ arrival.

2. Communicate with the Performers

In addition to connecting with the right venue, you must keep in contact with the performers you are booking. Depending on their style of entertainment, they will need specific provisions.

For example, booking a comedian should come with the expectation that you will provide a microphone for them. If there is no microphone, you will be scrambling at the last moment to find one. This is an extreme example, but the principle of making sure you and the performers have the same expectations is essential.

3. Don’t Be Afraid to Ask for Help

Entertainment events are a collaborative process. As the previous two points have noted, you will need to build a strong team of collaborators to make your entertainment event. For this reason, assuming you are the event’s lead organizer, do not be afraid to ask for help.

As a single person, it is challenging to coordinate everything that goes into a live entertainment event, especially the technical aspects. Make sure you surround yourself with willing helpers who have the skills to bring what you have in mind to life successfully.
